Submitting your Thesis or Essay

Thesis Submission

Once the supervisory committee has approved the thesis, the next step is to submit it to Faculty of Graduate and Postdoctoral Studies. Please refer to the following pages about the forms that should accompany the thesis submission:

If your thesis is approved by Faculty of Graduate and Postdoctoral Studies, you will receive an email confirmation. Please forward the email to Joyce Poon (poon@cs.ubc.ca); she will confirm if there are other requirements that you need to fulfill.

NOTE:

  1. The Faculty of Graduate and Postdoctoral Studies does not accept thesis submissions after 3:30 PM of each business day.
  2. The Thesis Approval Form requires signatures from your supervisor and second reader. Email approval is not an acceptable substitution of their signatures on the form.  Students can submit either an electronic or hard copy of the Thesis Approval Form.
  3. The student is required to present the thesis results at a departmental seminar.

Essay Submission

For students who are completing the essay requirement, there is no need to submit the essay to the Faculty of Graduate and Postdoctoral Studies. The essay has to be approved by your supervisor(s). It doesn’t require an external reader (someone outside the supervisory committee).  Once the essay is approved by the supervisory committee, the supervisor should send an email to the Graduate Program Administrator, Joyce Poon, stating that the essay has been approved, and also the percentage grade for the essay.  If you would like to meet the deadline for congregation, the grade must be sent to Faculty of Graduate and Postdoctoral Studies before the deadline for thesis and memo submission (see Submission Deadline above).  Students need to allow ample time for the supervisory committee to read and grade the thesis, so that the Faculty of Graduate and Postdoctoral Studies can receive the grade by the deadline.

NOTE: The student is required to present the essay results at a departmental seminar.

Departmental Requirements for Graduation

Submit the following forms to the Graduate Program Coordinator. Refer to the MSc Graduation Checklist for more details.

  1. Email Confirmation from Faculty of Graduate and Postdoctoral Studies that your thesis has been approved (for thesis Master's degree students only). When you submit your thesis to cIRcle, you will receive an email acknowledgement (the subject line is "cIRcle: Submission Approved and Archived").  Your thesis has NOT been approved at this stage.  Once your thesis has been approved, you will received a second email with the subject line that says "Thesis Approved - name - student #". You'll need to forward the second email to the Graduate Program Coordinator.
  2. Thesis and essay has been presented in a seminar (i.e. conference or departmental seminar). Students should send the information (date, time, location, supervisor's name, title of the thesis, and abstract) to grad-info@cs.ubc.ca at least 3 days in advance. An announcement will be sent to the department.
  3. A completed copy of the MSc Release Form (required)
  4. Graduation Photo (optional). Artona takes graduation photos  of graduate students (and producing class composities).  Please refer to the Graduation Photograph page for more details.
  5. Thesis Binding (optional). The department does not pay for the binding of MSc theses or essays.  If your supervisor would like a copy of the thesis, he or she will need to provide the speed chart that is non-NSERC grant on the thesis binding form.


NOTE: Thesis binding for Master's students is optional and will not covered by the department. Supervisors who would like a bound copy will need to provide a non-NSERC speedchart.
